Taking Inventory

Inventory Taking in Cienapps

Inventory taking can sometimes be a real headache:
How do you distinguish between products that are available on your shelves and those that are reserved?
Which items are reserved but have already been consumed by a project that’s still in production and not yet delivered?

The Inventory Taking feature in Cienapps helps you gain clarity and complete this process smoothly and efficiently—category by category.


Accessing the Inventory Taking Table

To access the inventory table, go to the ‘Tools’ menu, then select:
Inventory > Inventory Input > Stock Count

From this table, you can:

  • View, modify, or delete past inventory entries

  • Create a new inventory taking session

Performing an Inventory Count

Inventory taking is done category by category.
Why? This allows you to exclude work orders that have already consumed materials in a specific category, based on their production stage.

Example:
If you're counting edge banding, you’ll want to exclude work orders that have already passed through the edgebander stage, since those edge bands have already been used.

Steps:

  1. Click ‘New’ and select the product category.

  2. Select the work orders that have already passed the relevant production stage.

  3. Begin your inventory count—Cienapps will list all products in the selected category.

Three Columns Will Be Displayed:

  • Shelf
    Shows the current quantity available and reserved, excluding the quantities linked to the previously selected work orders.
    This field is for reference only and cannot be edited—it represents the quantity physically expected on your shelves.

  • New
    This is where you enter the actual counted quantity during inventory taking.

  • Difference
    Shows the gap between your physical count and the system quantity.
    Any discrepancy is an important indicator—materials may not have been declared properly during use, which can affect your cost accuracy.
    Knowing this helps you take corrective action.


Finalizing the Inventory

Once the inventory is completed:

  • Save your entry

  • Proceed with automatic inventory adjustment

Note:
If the adjusted quantity is lower than the reserved quantity on the shelf, a warning will appear indicating that the available quantity is insufficient to complete the adjustment.
You will need to unreserve some products from work orders to proceed—and better understand what really happened.
