Shop Deparments
The first step in managing calendars is to create a department.
This can be done by navigating to Scheduling > Maintenance > Department. You’ll see existing departments such as Delivery, Installation, and Capacity.
To create a new department, provide both French and English names (it can be English for both), and select the department type: Production, Installation, or Delivery.
Production departments are linked to capacity calendars.
Installation and Delivery departments appear in the installation calendar.
Regarding the hourly rate, you can set a flat fee, but it’s generally not recommended to set it up at the department level.
Also, fields like file sequence, activity, and employee aren’t used in the department file.
Under display options (e.g., scanner, shipping, label print), choose “Do not display in the visual processor”, especially for capacity-related departments, as they don’t need to appear in the processor.
Once the department is created, you can:
Edit it by clicking “Edit” or double-clicking the department name.
Merge departments if duplicates exist (though this is rare).
Delete a department if no longer needed.
Add schedules, which is essential for calendar management.
To add a schedule:
Click “Schedule” > “Add a schedule”.
Set working hours (e.g., 7:30 AM to a desired time) and validate.
You can delete older or conflicting schedules as needed.
Special schedules can also be created, such as:
Summer schedules (e.g., only on Fridays from June to September, 7:30 AM to 12:00 PM).
Holiday schedules, like Christmas:
Select the holiday date (e.g., December 25).
Add a description.
The calendar will show this day as unavailable (grayed out) to reflect closure.
This process ensures departments are properly structured and calendar availability is accurately defined for both regular and exceptional scheduling needs.
