Quotation

The quotation is the first step with your customer. This is where you will enter the necessary information for the project, its estimation and where you will write the different follow-up with your customer in order to ensure better sales management.

 

Quotation table

The quotation table allows you to easily find all of your ongoing or closed quotations. You have the possibility to either filter by step, sales rep ou sort it based on the different columns available.

From this table, you can:

  • Open a new quotation

  • Duplicate an existing quotation

  • Modify a quotation

  • Print a quotation

  • Close a quotation

Note that it is not possible to completely delete a quotation, even if it is considered ‘'close/lost’', as they serve to compile sales statistics available through the .

 

 

 

Quote

At the first contact with your customer, you must open a new quotation in order to add the preliminary information. This will allow you to track all of your sales efforts, right from the beginning.

At the creation, you will need to choose an existing customer or create a new one. You will then have to fill the basics information:

  • Customer
    The information will be pulled from the customer file.

  • Delivery Address
    In case of a different delivery address than the one in the customer file, you may specify it here. It will also be added in the customer file.

  • Title
    Represent the type of project for which you are quoting. This field can be configured as mandatory but isn’t by default.

  • Sales rep/representative
    These names are being pulled from the customer file, or you can select one from the drop-down menu.

  • Step
    These steps are customizable et display the advancement of your project.

  • Estimated close date
    Date when you think you will close the deal

  • Ref no./PO
    These fields are facultative et consist of additional reference numbers for builder type customers.

  • ''Valid through''
    The validity date of your quotation

 

Once your basic information is entered, multiple tabs are at your disposal in order to add all the necessary element for your quotation:

  • Products
    There are many ways to make a quotation in Cienapps however, no matter which method you choose, you will have to add a ‘'parent’' product representing your project.

  • Material
    Add the list of material necessary for your project’s fabrication

  • Planning
    Look at the necessary labour time for the project, or manually add time for installation or delivery purpose, for instance

  • Cost
    Allows to analyze the estimated profitability of the project

  • Document
    This tab gives you access to four sub-tabs in order to better sort the documents linked to your project. You may add pictures, plans, signed contracts, etc.

  • Customer info
    Allows to add additional information that will be printed on the quote. It is also possible to have a saved pre-configured note ready to be added each time you may need it.

  • Follow-up
    Add follow-ups such as the last contact with the customer, your next meeting with him or when the quote was sent, etc.

  • Information
    Allows you to add additional information specific to the project, such as the desired installation date.

 

Note that all these information will follow when transferring the quotation to the order.
