Accounting exportation to Quickbook

The Accounting exportation allows you to export the sales and receipts/collection information to Quickbooks Desktop

  • Open the Accounting exportation, select the dates that you want to export data from, enter a Batch # (will be used in the reference column in Quickbooks journal) and click Process.

  • Open Quickbooks, go to the Chart of accounts, load the corresponding account and see the journal entered with the same amount and the reference information.

In order to have the information transferred from Cienapps to Quickbooks, configuration is required. Let’s start with the Cienapps configuration.

  • Open the Branch menu, go to the Accounting tab, select General ledger. The following accounts need to be created (see the next step) :

    • To be received

    • Customer advance

    • Interest

    • Rounding

    • GST on Sales

    • PST on Sales

    • GST/PST on Purchases are not required so you can put a test account.

    • Handing and Transporting fees needs to be created if you have the carrier and transport road module activated. If not, put a test account here.

 

  • Create the account information in the General ledger menu. Click on New and enter the information.

  • Configure the rounding information in the General configuration, then Accounting and select the Option tab. Enter the rounding you’d like to apply when invoicing your customers.

  • Configure the interest information in the General configuration, then Accounting and select the AR tab. Enter the interest rate you’d like to apply when invoicing your customers.

Open Payment Mode, click on New and edit your mode so the payment is configured accordingly.

 

Congratulations! Almost everything is set up in Cienapps. Let’s see the configuration to do in Quickbooks Desktop.

  • Create three test accounts that will be used to test the link between Cienapps and Quickbooks

    • Create a Vendor called Cienapps

    • Create a Bank account called Cienapps

    • Create a Customer called Cienapps_customer

  • Go to the Edit menu, select the Accounting option under Company preferences and make sure the Account number is checked

Edit your account configuration in Quickbooks if you’re currently using the account number as it’s this information we’re using to transfer the data over.

  • Open the Chart of accounts, select the corresponding account and enter the Account number

Now that the configuration is completed in Quickbooks, we need to test the Quickbooks connection and everything will be set up. We’re almost done!

  • Open the General configuration, select Accounting and go to Exporting to Accounting systems. Select Quickbooks in the drop-down menu, edit the configuration file so it points out to your .qbw file and then press on Quickbooks to test the connection

  • A window will pop up so you can assign the test account previously created and then click OK.

That’s it! You’re now ready to export your sales data from Cienapps over to Quickbooks.
