Accounting Export to QuickBooks Online

1. CONTEXT

This feature allows exporting accounting entries in CSV format, directly compatible with QuickBooks Online (QBO) journal import.

It is located in the Accounting Export window and generates a .csv file containing totals by general ledger account, ready to be imported into QuickBooks without manual entry.

Objective: Automatically transfer Cienapps accounting balances to QuickBooks Online via a standard CSV file.

  • A journal number must be entered

  • An accounting export directory must be configured (company or general settings)

  • Totals must be calculated and displayed in the export window table

2. Accounting Type Configuration

Before using the export, it is necessary to configure the accounting type and destination directory.

Action: Access the Branch file (AND/OR Configuration file), select the QuickBooks Online accounting type, then choose the accounting export directory where the generated CSV files will be stored.

 

3. EXPORT STEPS

STEP 1: Open the Accounting Export window

Action: Open the Accounting Export window from the main menu or tool tree.

 

STEP 2: Select the period and display totals

Action: Select the desired accounting period, then click the Display button to load the data.

Result: The totals table automatically fills with balances by general ledger account (debits and credits).

 

STEP 3: Enter the journal number

Action: Enter the Journal Number in the provided field (example: 4072026).

Validation: This field is mandatory. If the user clicks Process without filling it in, an error message is displayed and the cursor returns to the field for correction.

 

STEP 4: Generate the CSV file

Action: Click the Process button to start generating the CSV file.

Behavior:

  • The CSV file is automatically created in the configured export directory

  • The file name automatically includes the entered journal number

 

STEP 5: Verify the generated CSV file

Action: Open the export directory to view the created CSV file.

File structure: 5 columns in the format expected by QuickBooks Online
